Sound familiar?

The job, before and after this agent.

What it feels like today

  • “Staff retype every web inquiry into a conflict check by hand.”
  • “We once drafted an engagement letter before conflicts were reviewed.”
  • “Intake notes look different depending on who took the call.”

What you get with the agent

  • Each inquiry organized into matter type, parties and roles, key dates, facts and the client's request, with time-sensitive dates flagged
  • Every person and company named screened against your client, matter and adverse-party sheet, read fresh each time and including close variants
  • Possible conflicts sent to your conflicts channel in Slack and stopped there
  • Matters with no match routed to the responsible attorney; once cleared, an engagement letter drafted from your template and fee terms
  • A Notion matter page with the intake, the conflict screen and the draft letter

Before

A paralegal copies the web form into an email, searches the conflict list name by name and forwards it to an attorney who asks for the dates again.

After

The attorney sees a structured intake with the conflict screen already run. If it's clear and they clear it, the engagement letter draft is waiting in Notion.

How it works

The whole workflow, step by step.

Each new client inquiry from your web form (or the form staff fill in for phone and referral inquiries) is organized by AI into the matter type, parties and roles, key dates and facts, and every name is screened against your client, matter and adverse-party list, read fresh from your Google Sheet on each inquiry, including close variants. Possible conflicts go to your conflicts channel in Slack and stop there. Matters with no match go to the responsible attorney; once cleared, AI drafts the engagement letter from your template and fee terms and the client's original inquiry, and a matter page with the intake, the conflict screen and the draft letter is opened in Notion. It doesn't connect to document- or practice-management systems, and a 'clear' screen isn't a conflict clearance.

This is the workflow that opens in your workspace when you set the agent up. Every step can be edited.

  1. Step 1New client inquiryYour website intake form (or the form staff fill in for phone and referral inquiries) posts each new inquiry to the workflow's webhook URL.
  2. Step 2Read your conflict listReads your client, matter and adverse-party list from your Google Sheet on every inquiry, so the screen always uses the current list.
  3. Step 3Organize the intake and screen for conflictsAI organizes the inquiry (matter type, parties, key dates, facts), compares every person and company named with the rows of your conflict list, and suggests the practice group.
  4. Step 4Possible conflict?Potential or actual conflicts go to your conflicts channel in Slack for an attorney; no engagement letter is drafted.
  5. Step 5Send possible conflicts to SlackPosts the inquiry, the matches found and why they matter to your conflicts channel for an attorney to resolve.
  6. Step 6Attorney clears the matterThe responsible attorney checks the intake summary and the conflict screen in Reviews, runs any further checks the firm requires and approves taking the matter forward.
  7. Step 7Draft the engagement letterAI drafts the engagement letter from your firm's template and fee terms for this matter type, with every open point marked for the attorney.
  8. Step 8Open the matter page in NotionCreates a page in your Notion intake or matters database with the organized intake, the conflict screen and the draft engagement letter.
  9. Step 9Not taken forwardDeclined intakes stay in the run history only; nothing is sent.

Example run

What goes in, and what comes out.

Example with fictional data

Comes in

A fictional web inquiry: an employee let go by Ridgeway Freight Co. after reporting unpaid overtime, manager named, severance offer to sign by October 25.

The agent produces

Intake: employment matter, parties Ridgeway Freight Co. (adverse) and the named manager, deadline October 25 flagged. No match in the conflict sheet, so it goes to the employment attorney. After clearance, a draft engagement letter and matter page are created.

What you need

Everything it takes to run it.

About 25 minutes from purchase to live. A checklist above the canvas takes you through each step.

Plan

Included in Enterprise; on other paid plans it's $129 once. Agents run live on paid plans, from Basic ($39/mo).

Your AI key

Connect any of 14 AI providers on your own key. Your provider bills usage directly, at cost; we add no markup.

Apps

Checklist

  • A paid plan (agents run live on paid plans).
  • An AI provider key (Settings → AI Providers), used under your firm's policy for client information.
  • Google Sheets, Slack and Notion, connected in Settings → Integrations.
  • A Google Sheet with your client, matter and adverse-party names (kept current), your engagement letter template, and an intake form that can send to a webhook URL.

Setup, about 25 minutes

  1. Connect your AI provider. The AI steps run on your own key (OpenAI, Anthropic, Google and more). Add one in Settings → AI Providers.
  2. Connect Google Sheets. Connect the Google account that can open your conflict sheet (Settings → Integrations → Google Sheets).
  3. Connect Slack. Connect the Slack workspace your intake team uses (Settings → Integrations → Slack).
  4. Connect Notion. Connect your Notion workspace (Settings → Integrations → Notion) and share your intake or matters database with Fluxo Flow.
  5. Pick your conflict list sheet. Open “Read your conflict list”, pick your Google account, paste the link of the sheet with your clients, matters and adverse parties (one row each, header row first) and pick the tab.
  6. List your practice groups. Open “Organize the intake and screen for conflicts” and replace the placeholder with your practice groups and the matters each takes.
  7. Pick the conflicts channel. Open “Send possible conflicts to Slack” and pick your account and a private channel. Invite the app first (/invite @Fluxo Flow).
  8. Paste your engagement letter template. Open “Draft the engagement letter” and replace the placeholder with your template and fee terms per matter type.
  9. Pick your matters database. Open “Open the matter page in Notion” and pick your account and database.
  10. Test it with Dry Run. Press Dry Run: the agent runs on sample data with no messages sent and nothing written to your apps.
  11. Switch the trigger on. Open the trigger, switch the webhook on and send your intake form to its URL. Assign the review step to your responsible attorneys.

Is it a fit?

Who it's for, and what it won't do.

Built for

  • Small and mid-sized law firms taking web and phone inquiries
  • Employment, family and personal injury practices with high intake volume
  • Intake coordinators and legal assistants

What it doesn't do

  • It doesn't connect to document- or practice-management systems (NetDocuments, iManage, Clio); it screens against the Google Sheet you keep current (very large lists, over roughly 2,000 rows, should be split or trimmed to open and recent matters).
  • A 'clear' result isn't a conflict clearance: an attorney clears every matter.
  • It isn't legal advice, doesn't assess the merits and doesn't calculate deadlines or limitation periods.
  • It doesn't send the engagement letter or collect signatures; the draft waits in Notion for the attorney.

We list the limits up front so you can decide before you buy.

FAQ

Questions about Legal Intake & Conflict Check.

Is a “clear” result a conflict clearance?

No. It means no match was found in your sheet as it stood. If the sheet can't be read, the inquiry is treated as a possible conflict. An attorney clears every matter before a letter is drafted.

Does it connect to Clio or our document system?

No. It screens against a Google Sheet you keep current, for example an export from your practice-management system. Very large lists, over roughly 2,000 rows, should be split or trimmed to open and recent matters.

Is it giving legal advice?

No. It doesn't assess merits or calculate limitation periods, and it doesn't send the engagement letter. Drafts wait in Notion for the attorney.

What does it take, and is it worth it?

About 25 minutes with Google Sheets, Slack and Notion. It's a one-time purchase that never renews, removing the retyping and manual screening from every inquiry. Live runs need a paid plan and your own AI key; Dry Run is free.

Where does the conflict list come from?

From a Google Sheet you keep (one row per client, matter, adverse party or related company, e.g. an export from your practice-management system). The agent reads it fresh on every inquiry, so updates count straight away. It doesn't connect to NetDocuments, iManage or Clio.

Is a 'clear' result a conflict clearance?

No. It means no match was found in your conflict sheet as it stood. If the sheet can't be read, the inquiry is treated as a possible conflict, never as clear. An attorney clears every matter before anything else happens.

Is this a subscription?

No. Legal Intake & Conflict Check is a one-time purchase of $129 per workspace and never renews. The Enterprise plan includes it at no extra cost. Running it live needs a paid plan (from Basic ($39/mo)), and your AI provider bills you directly for usage.

Can I test it before it touches real data?

Yes. Once it's set up in your workspace, Dry Run plays every step on sample data with simulated AI and app calls: nothing is sent and nothing in your apps changes. Switch the trigger on only when you're happy.
