Sound familiar?
The job, before and after this agent.
What it feels like today
- “We run a great webinar and then send everyone the same bland thank-you a week later.”
- “Questions people asked live never get a proper answer.”
- “Sales has no idea which attendees were actually interested.”
What you get with the agent
- Every new row in your attendee sheet read as it arrives.
- Attendees get a thank-you that answers their own questions, using only the webinar details you write.
- No-shows get the replay and a line on what was covered.
- Every person saved in HubSpot with a note on attendance, questions and interest; hot attendees posted to your Slack sales channel.
- Emails wait for your approval by default; switch review off and only pricing, contract or complaint questions wait.
Before
Three days after the webinar, someone exports the list, sends one generic replay email, and the attendee who asked about pricing for a five-person team never hears back.
After
The same afternoon, that attendee gets a reply to their exact question, their HubSpot contact notes the interest, and a rep sees them in Slack as a hot attendee.
How it works
The whole workflow, step by step.
Paste your webinar attendee export (or let your registration form write to a Google Sheet): each new row is read by AI. Attendees get a thank-you that answers the questions they asked, using only the webinar details you write; no-shows get the replay and one line on what was covered. Every person is saved in HubSpot (created or updated by email) with a note on attendance and questions, and hot attendees by your rules are posted to your Slack sales channel. Emails wait for approval by default; switch review off and only pricing, contract or complaint questions wait. It doesn't connect to Zoom or webinar platforms directly.

This is the workflow that opens in your workspace when you set the agent up. Every step can be edited.
- Step 1New attendee rowStarts a run for each row added to your webinar sheet (an attendee export pasted in, or a form that writes to the sheet).
- Step 2Write the matching follow-upAI reads the row, decides attended or no-show and writes the matching email: answers their question from your webinar details, or sends the replay.
- Step 3Has an email?Rows without an email address can't be saved to HubSpot or emailed.
- Step 4No email addressThe run history keeps the row; nothing is saved or sent.
- Step 5Save the contact in HubSpotCreates the contact in HubSpot, or updates the one with the same email.
- Step 6Note the webinar on the contactLogs attendance, their questions and whether they're hot on the contact's timeline.
- Step 7Saved in HubSpotThe run history keeps the contact id and the note.
- Step 8Hot attendee?Hot attendees (by your rules) are posted to Slack for a quick personal follow-up.
- Step 9Not hotNo Slack alert for this attendee.
- Step 10Alert sales about a hot attendeePosts the hot attendee, why and their questions to your sales channel.
- Step 11Sales alertedThe run history keeps the alert.
- Step 12Send the email how?No email address: nothing to send. Review switched off and nothing sensitive: sent at once. Otherwise: approved first.
- Step 13No email sentThe row had no email address.
- Step 14Approve the follow-upA marketer checks the email in Reviews, edits it if needed and approves it to send.
- Step 15Email the follow-upEmails the follow-up from your workspace's sender, with replies going to your inbox.
- Step 16Follow-up sentThe run history keeps the email that was sent.
Example run
What goes in, and what comes out.
Example with fictional data
Comes in
New sheet row: Hannah at Acme Foods, attended 52 minutes, asked whether it works with her accounting software and what it costs for a five-person finance team.
The agent produces
Draft thank-you answering the integration question from your webinar details, and pointing pricing to a call (pricing questions always wait). HubSpot contact updated with an attendance note. Posted to #sales as a hot attendee. Waiting for approval.

What it doesn't do
- It doesn't connect to Zoom or webinar platforms: the attendee list must be in a sheet.
- It answers questions only from the webinar details you write; anything else is left for a teammate.
- It doesn't enrol contacts in sequences or create deals.
- Rows without an email address get no email and no HubSpot contact.

FAQ
Questions about Webinar Follow-Up.
Does it connect to Zoom or my webinar platform?
No. Export the attendee report, or have your registration form write to a Google Sheet; each new row gets followed up.
What if it answers a question wrong?
It answers only from the webinar details you write and leaves anything else for a teammate. By default every email waits for your approval.
Which apps do I need?
Google Sheets, HubSpot and Slack. Setup takes about 15 minutes. Rows without an email address are skipped.
Is it worth the price?
A one-time price that never renews, against hand-writing follow-ups for every attendee. Live runs need a paid plan and your own AI provider key.
Can it send without review?
Yes. Change “REVIEW EVERY EMAIL: yes” to “no”: routine emails are then sent at once, and only questions about pricing, contracts, security or complaints wait for approval.
Is this a subscription?
No. Webinar Follow-Up is a one-time purchase of $79 per workspace and never renews. The Enterprise plan includes it at no extra cost. Running it live needs a paid plan (from Basic ($39/mo)), and your AI provider bills you directly for usage.
Can I test it before it touches real data?
Yes. Once it's set up in your workspace, Dry Run plays every step on sample data with simulated AI and app calls: nothing is sent and nothing in your apps changes. Switch the trigger on only when you're happy.
