Website form or webhook to HubSpot, with AI in between

Any form tool or backend that can POST JSON can create clean, scored HubSpot contacts, with a note explaining the score and a task for the owner.

In short

In Fluxo Flow, a Webhook trigger gives your form or backend a URL to POST to; an AI step scores and cleans the lead, and HubSpot's live actions create or update the contact (matched on email), add a note and create a task.

What you can build

Webhook / form → HubSpot: 2 workflows.

Every step is a real node or connector action in the app.

Form → AI score → HubSpot contact + note + task

7 steps

Every submission becomes a clean contact; hot ones get a task for the owner.

  1. Step 1: Webhook triggerForm posts JSON (secret header)
  2. Step 2: AI GenerateClean fields, score 0-100, one-line reason
  3. Step 3: ValidatorEmail present, score is a number
  4. Step 4: IntegrationHubSpot: Create or update a contact
  5. Step 5: IntegrationHubSpot: Add a note (score + reason)
  6. Step 6: RouterScore 70 or more?
  7. Step 7: IntegrationHubSpot: Create a task for the owner

Result: Clean contacts with the reasoning attached, and follow-ups that can't be forgotten.

Backend event → enrich → HubSpot

4 steps

Your app posts a signed event (signup, upgrade); the workflow enriches it and updates the contact.

  1. Step 1: Webhook triggeruser.signed_up, HMAC-signed
  2. Step 2: HTTP RequestCall your enrichment API
  3. Step 3: IntegrationHubSpot: Find records (by email)
  4. Step 4: IntegrationHubSpot: Create or update a contact

Result: Product signals in the CRM without a custom integration.

Under the hood

The triggers and actions these use.

  • HTTP / Custom API: Incoming webhooktrigger, instant

Gives you a URL the other system posts events to. Each signed event starts one run.

  • HubSpot: Create or update a contactaction

Creates a contact, or updates the one with the same email.

  • HubSpot: Add a noteaction

Logs a note on a contact, company, deal or ticket timeline.

  • HubSpot: Create a taskaction

Creates a to-do for a HubSpot user, linked to a contact, company, deal or ticket.

  • HubSpot: Find recordsaction

Finds contacts, companies, deals or tickets where a property matches a value (e.g. a contact by email).

Set it up

Connect Webhook / form → HubSpot in 4 steps.

  1. Add a Webhook trigger and secure it

Set the trigger type to Webhook and choose an auth mode: a shared secret in the x-fluxo-secret header, an HMAC-SHA256 signature in x-fluxo-signature, or both. Activate it to get the URL and secret (shown once).

  2. Point your form at the URL

In your form tool (or backend), POST JSON to the webhook URL with the secret header. Anything that can send a webhook works: Typeform, Tally, Jotform, your own site.

  3. Connect HubSpot and an AI provider

Connect HubSpot in Settings → Integrations and an AI key in Settings → AI Providers, then pick them in the steps.

  4. Dry Run with a real submission

Paste a real form payload as the sample and Dry Run: the AI and HubSpot calls are simulated. Then activate.

Which webhook to use

The workflow's own Webhook trigger is the usual choice: a fixed URL per workflow, with a secret header, an HMAC signature, an IP allowlist and required headers. The HTTP / Custom API connector also has an Incoming webhook trigger (signed events with a per-subscription secret) for systems that sign their own deliveries. Either way, unauthenticated requests are rejected before a run starts. How to secure webhooks explains the options, and the webhook and HMAC signature entries define the terms.

About the template

The AI lead qualification template creates the contact with an HTTP Request step and a HubSpot private app token, so it works without the HubSpot connection. If you've connected HubSpot, swap that step for "Create or update a contact": it matches on email, so returning leads update the existing contact instead of failing or duplicating.

FAQ

Webhook / form → HubSpot: questions.

Which form tools work?

Any tool that can send a webhook with a JSON body: Typeform, Tally, Jotform, Webflow forms through a relay, or your own backend.

How do I stop strangers from posting to the URL?

Give the trigger a secret header, an HMAC signature or both, and optionally an IP allowlist. Requests without valid credentials are rejected and logged; no run starts.

What if the same lead submits twice?

"Create or update a contact" matches on email and updates the existing contact. The Webhook trigger also honours an Idempotency-Key header for 24 hours, so retried deliveries don't run twice.

Can I use it on the Free plan?

You can build and Dry Run this on the Free plan. Running it live (schedules, app triggers, webhooks) needs a paid plan.
