Finance & payments integration

QuickBooks Online integration for AI workflows.

Invoice from your workflows: create customers, invoices and estimates in QuickBooks and react to new payments.

Beta

In short

Fluxo Flow connects to QuickBooks Online by signing in to QuickBooks; workflows can create a customer, find a customer and create an invoice and more, and start from new invoice, new or updated invoice and new payment. The integration is in beta.

Beta means it works but hasn't been tested against every account setup yet; actions and fields may still change. Found a problem? Tell us.

What you can do

Actions and triggers for QuickBooks Online.

Actions

  • Create a customer

Adds a customer. The display name must be unique in QuickBooks.

  • Find a customer

Finds customers by email or display name.

  • Create an invoice

Creates an invoice for a customer (one line from the fields, or several from Line items).

  • Send an invoice

Emails an invoice from QuickBooks (to its bill email, or the address you give).

  • Find an invoice

Finds an invoice by its number or id (returns balance and status).

  • Record a payment

Records a customer payment against an invoice (reduces its balance), into the deposit account you pick or Undeposited Funds.

  • Create an estimate

Creates an estimate (quote) for a customer.

Triggers

  • New invoice (checked on your plan's schedule interval)

Starts a run for each invoice created in QuickBooks.

  • New or updated invoice (checked on your plan's schedule interval)

Starts a run each time an invoice is created or changed — including when a payment changes its balance (check Balance = 0 for paid).

  • New payment (checked on your plan's schedule interval)

Starts a run for each customer payment recorded in QuickBooks (including online invoice payments).

  • New customer (checked on your plan's schedule interval)

Starts a run for each customer added in QuickBooks.

How to connect

Connect QuickBooks Online in a minute.

Connects by signing in to QuickBooks. Tokens are encrypted and renewed automatically.

  1. Open Settings → Integrations and click Connect on QuickBooks Online (pick Sandbox only for an Intuit developer sandbox).
  2. Sign in to Intuit and choose the company to connect.
  3. Add QuickBooks steps — they use the company you connected automatically.

What you need on the QuickBooks Online side

  • QuickBooks Online (not QuickBooks Desktop). Sign in with an Intuit user who can approve app access for the company.

Permissions & limits

What it can access, and how fast it runs.

Permissions requested

  • Customers, invoices, estimates, payments

    com.intuit.quickbooks.accounting

Limits and timing

  • Polling triggers are checked on your plan's schedule interval: Basic every 15 minutes, Pro every 5 minutes, Business every 2 minutes, Elite every minute.
  • QuickBooks Online triggers check at most every 5 minutes, whatever your plan, to respect QuickBooks Online's limits.
  • If QuickBooks Online says to slow down (HTTP 429 or 503), requests wait as told and retry a limited number of times.
  • Works with customers, sales invoices, estimates and payments; it doesn't create vendor bills.
  • Each connection is one company; connect a second company as a second connection.

FAQ

QuickBooks Online questions, answered.

Do I need my Company ID?

No. QuickBooks tells Fluxo Flow which company you picked when you connect, and every step uses it. To work with another company, connect it as a second QuickBooks connection.

Where do recorded payments go?

Into the account you pick in “Deposit to” on “Record a payment” (any bank or other current asset account, chosen from a list). Leave it empty and QuickBooks uses Undeposited Funds, so you can group payments into one bank deposit, the way most bookkeepers match Stripe payouts.

Does it work with QuickBooks Desktop?

No — QuickBooks Online only.

How fast do the triggers fire?

They check QuickBooks on your plan's schedule interval (at least every 5 minutes).

Is the QuickBooks Online integration finished?

It's in beta: it works, but it hasn't been tested against every account setup yet. Tell us if something doesn't behave as expected.

Can I use QuickBooks Online on the Free plan?

You can connect it, build with it and Dry Run on the Free plan. Running workflows live (triggers, schedules, webhooks) needs a paid plan.

What happens if the connection expires?

Access tokens are renewed automatically. If QuickBooks Online revokes access (for example, the person who connected it leaves), steps that use the connection fail and show the error in the run trace; reconnect in Settings → Integrations.

Can I call QuickBooks Online endpoints the integration doesn't cover?

Yes, if QuickBooks Online has an API: save a key in the encrypted credential vault and call it with an HTTP Request step.

Can I test a workflow without touching my real data?

Yes. Dry Run walks through every step with simulated app calls, so nothing is sent until you run it for real or activate its trigger.
